We are now seeking an Office Manager to join our team as we continue our growth.
Role description
As Office Manager at Tom Wood, you are responsible for the daily operations and overall workplace experience at our headquarters in Oslo. You ensure that the office runs efficiently, stays organised, and supports a productive and collaborative working environment for employees, visitors, and partners.
This is a highly operational and hands-on role with broad responsibility across office management, coordination, workplace services, and internal events. You will work across teams and external partners to create structure, solve problems, and maintain a high standard throughout the office environment.
The role suits someone who is proactive, organised, and service-minded. You enjoy taking ownership and creating an environment where people can do their best work.
You will play an important role in building and shaping the daily workplace experience at Tom Wood’s new 2400 sqm state-of-the-art headquarters in Grünerløkka, Oslo, opening in January 2027.
This role is a part of the Admin & Operations Department and reports to the People & Culture Director.
Key responsibilities
Workplace experience & coordination
Welcome visitors, customers, and partners and ensure a professional and positive office experience.
Coordinate meeting room readiness, refreshments, visitor logistics, and day-to-day workplace flow.
Maintain high standards across shared spaces, meeting rooms, and common areas to ensure the office remains organised, functional, and representative at all times.
Contribute to a positive, inclusive, and collaborative workplace environment.
Office operations
Oversee daily office operations to ensure an efficient and well-functioning workplace environment.
Coordinate office supplies, groceries, lunch arrangements, and workplace facilities.
Manage purchasing of office equipment, supplies, and operational necessities in a structured and cost-conscious way.
Manage relationships with building management, cleaning services, and external vendors to maintain high office standards across the headquarters.
Support health, safety, and workplace compliance related to the office environment.
Identify opportunities to improve office routines, processes, and operational efficiency as the company grows.
Coordination & internal support
Support coordination across teams related to workplace operations, practical office needs, and internal activities.
Coordinate internal events, social gatherings, and office-related activities.
Manage incoming and outgoing mail, deliveries, and courier services.
Support operational projects related to the office space, including workstation setup, signage, and workplace improvements.
Handle ad hoc tasks and practical coordination needs that support the daily operations of the headquarters.
Background & experience
We believe the right person for this role is proactive, organised, and enjoys creating structure and supporting a positive workplace environment.
You may have experience from office management, reception, hospitality, retail, administration, customer service, or similar operational roles.
